Extract Text vs OCR vs PDF to Word
- Extract Text — reads text that is already in the PDF and exports .txt. Fastest when you only need the words.
- Make PDF Searchable (OCR) — creates a text layer on image-only scans so search and extract can work. Use this first when you cannot highlight text in a PDF reader.
- PDF to Word — rebuilds an editable DOCX with headings and tables. Use when layout matters, not when you only need a text dump.
If your extract finishes with almost no characters, the PDF is almost certainly a scan. Run Make PDF Searchable (see the OCR guide), then extract again.
Step 1 — Confirm the PDF has selectable text
Open the file in any PDF reader and try to highlight a sentence. If selection works, Extract Text will usually succeed. If the cursor cannot select anything, OCR first. Password-protected files need Unlock PDF when you know the password and have permission.
Step 2 — Extract and preview
