What is PDF/A? The Archival Format Explained

PDF/A is a specialized PDF subset built for long-term preservation. Archives, courts, libraries, and regulated industries often require it instead of a everyday PDF that might rely on fonts or features that break decades later.

Why PDF/A exists

A normal PDF can reference external fonts, use transparency in ways that render differently across viewers, or embed risky content. PDF/A embeds the fonts it needs, restricts dangerous features, and is designed so the file remains self-contained for archival systems. That self-containment is why governments and records teams prefer it for filings that must still open in 20 years.

PDF/A-1, PDF/A-2, and PDF/A-3

  • PDF/A-1 — the strict baseline many older portals still cite.
  • PDF/A-2 — adds support for features such as JPEG2000 and transparency while staying archival.
  • PDF/A-3 — allows embedded files (for example XML or CSV) alongside the visual document for structured records.

When a checklist simply says “PDF/A,” ask which part if conversion fails validation — or try the level your tool offers and validate in the destination system.

Create PDF/A online

What PDF/A removes

Some interactive features (certain scripts, unsupported encryption patterns, or non-embedded fonts) cannot stay. That is intentional. If you need a signed interactive form for daily use, keep a standard PDF for working copies and produce PDF/A only for the archival submission.

Is PDF/A the same as a regular PDF?

It is still a PDF, but constrained for long-term fidelity. Not every PDF is a valid PDF/A file.
